Risk Assessment for Parrett Trail Relay Race Trial

[Last updated 02/10/2017]

General
Risk Mitigation
Attrition to individuals physical condition/lack of endurance.

Runners to compete only if in good state of health and of sufficient fitness to complete their target distances.

Teams should carry sufficient water and other provision with them to adequately service their runner's hydration and energy needs.

A basic first aid should be carried by the supporting teams and be sufficient to deal with their member's minor injury needs e.g blisters, small cuts and abrasions.

 Lone individuals requiring assistance.

Competitors, marshals or other support members to carry working mobile phones pre-loaded with the numbers of their primary 'if in difficulty' contacts.

For runners and their support members this should be their Team Captain or nominated assistant.

For marshals and other individuals concerned with the organisation of the event this will be the Race Organiser or his nominated assistant.

Difficulty in locating missing individuals where phone contact not possible.

All participants, marshals and other support members leaving communal areas alone should wear suitable visible apparel ie No camouflage gear.

For runners their team colours will normally be sufficient although some addition high viz bands should be considered if colours are unusually dull.

For individual marshals and other lone support members high viz tops should be worn.

 Distraction by personal electronic devices

If using phones or other visual mapping devices to confirm location, or route information, only do so while effectively stationary.

If using vocal instruction devices for confirmation of location or route information use 'loudspeaker' mode rather than earphones [so you can still hear what's going on around you].

Collision with or upset of unwary, distracted or surprised members of the public.

Slow down if approaching closely and give as wide a berth as practicable in the location concerned, giving way if necessary in particularly restricted areas.

Give gentle audible warning if approaching from the rear eg a cough, jolly hello or similar.

 Severe weather.

Participants, marshals and other support members should wear, or have available, clothing appropriate to the expected weather for the time of year and planned role in the event.

In the unlikely circumstances that severe weather is forecast, or develops, the event may be cancelled at short notice.  To this end, it is essential that each Team Captain provide the Race Organiser their 'active' mobile phone number.

Off Road
 Risk  Mitigation
Variable underfoot conditions.  Competitors, marshals and other support members to wear appropriate footwear for the terrain of leg(s) or locations concerned, paying particular regard to the weather conditions both on the day and preceding the event.

Inconspicuous hazards [e.g. Animal burrows, discarded fence wires, 'rolling' sticks].

Maintain level of concentration in scanning the ground ahead appropriate to speed of travel,  ie it is better to slow down if tired, rather than trip, fall or worse.
Lone runner in remote area requiring assistance if phone damaged/lost or no signal.

If predicted handover time is exceeded by 10 minutes, waiting runner should then notify 'if in difficulty' contact of possible concern.

If there is no indication of missing runner after a further 5 minutes the waiting runner should then again notify their 'if in difficulty' contact and their teams pre-planned recovery scheme put into action.

Attack by, or impact with, farm livestock, horses, dogs or wildlife.

Slow down if approaching closely and give as wide a berth as practicable in the location concerned, and if necessary waiting for creature to move if in particularly restricted area.

Give gentle advanced audible warning if approaching from the rear.

 On or Crossing Roads
 Risk  Mitigation
Startling other road users.  When joining/crossing carriageway use a cautious and considered approach to ensure your 'appearance' to others is realistically observed and not a sudden surprise.
 Impact with vehicle.

While progressing along a road or lane keep off of the actual carriageway wherever practicable but, where good paths are not available, be aware other hazards might lurk in verges.

Where practicable face towards oncoming traffic so you spot vehicles sooner and can better anticipate their trajectory and sense whether the driver has observed you.

Negotiating high speed main roads, particularly in latter part of race where route crosses busy 'A' roads [e.g. A356 after Norton Sub Hamdon & A30 after Haselbury Mill].

These crossings should be checked out by intended runners before the event to ensure they are aware of conditions affecting sighting distance and typical traffic speeds.

Runners should also be reminded on the day to take particular care at these crossings and be briefed regarding any special conditions that may apply [most probably in respect of A30 crossing].

NOTE: Some information may vary in response to changed circumstances, so keep looking for updates.

Have fun but stay safe!
